Terms of Service
Last updated: November 2026
These terms cover your use of the website thesentinelsystems.com and the services provided by The Sentinel Systems. Please read them carefully. By using our website or engaging our services, you agree to them.
1. About us
The Sentinel Systems is a trading name of TODO Ltd, a company registered in England and Wales under company number TODO, with its registered office at TODO. You can contact us at hello@thesentinelsystems.com.
2. Using our website
- You may use this website to learn about our services, contact us and book calls.
- You must not misuse the website. That means no attempting to gain unauthorised access, introducing malicious code, scraping it in bulk, or using it for anything unlawful.
- We work to keep the website accurate and available, but we don't guarantee it will always be error-free or uninterrupted. We may change or withdraw any part of it without notice.
- Links to other websites are provided for convenience. We are not responsible for their content.
3. Information on the website
- The content on this website is general information about our services. It is not professional advice for your specific situation.
- Case studies describe past work. Results depend on each business, its tools and its data, so we can't promise the same outcomes for you.
- Prices. Prices shown are starting prices ("from") and may be displayed in your local currency. Prices in a currency other than GBP, USD, CAD, EUR or AUD are estimates converted at current exchange rates and are for guidance only. The price that applies is the one in your written proposal or quote.
4. Free automation audit
Our free audit is a no-obligation consultation. Any recommendations we give during or after it are based on the information you provide and are not a commitment to deliver a particular result. Booking an audit does not create a contract for paid services.
5. Engaging us for paid services
-
Proposals. Paid work starts once you accept a written proposal, quote or statement of work ("Proposal"), and pay any deposit it requires. The Proposal sets out the scope, deliverables, timeline and price. If the Proposal and these terms conflict, the Proposal wins.
-
Changes to scope. Work outside the agreed scope is a change. We will agree any changes and their cost with you in writing before we do the work.
-
Your responsibilities. You agree to:
- give us timely access to the systems, accounts, information and people we need
- make sure you have the right to let us access those systems and any data in them
- review and approve deliverables within a reasonable time
Delays in access or feedback may move the timeline.
-
Third-party tools. Our work often connects third-party platforms (for example CRMs, calendars, accounting or messaging tools). You are responsible for your own subscriptions to those platforms and for following their terms. We are not responsible for outages, price changes, API changes or policy changes made by third parties. We will, however, help fix any effects on your automations, as set out in your Proposal or Sentinel Care plan.
6. Fees and payment
- Fees, deposits and payment milestones are set out in your Proposal. Unless stated otherwise, invoices are payable within 14 days.
- Prices are exclusive of VAT and any other applicable taxes, which will be added where required.
- If an invoice is overdue, we may pause work or monitoring until it is paid. For business clients in the UK, we may charge statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998.
7. Sentinel Care (monitoring and support plans)
- Sentinel Care plans are billed monthly in advance and renew automatically each month until cancelled.
- You can cancel at any time with 30 days' written notice. Cancellation takes effect at the end of the billing period after the notice ends. Fees already paid are non-refundable, except where the law requires otherwise.
- Each plan's inclusions, response times and monthly allowances are described on our Pricing page or in your Proposal. Unused allowances do not roll over unless stated.
- Monitoring helps us spot and fix problems quickly. It does not guarantee that automations or third-party services will never fail.
8. Ownership and intellectual property
- Your materials. You keep ownership of your data, content, accounts and anything you give us.
- Deliverables. Once you have paid in full, you own the custom workflows, configurations, code and documentation we create specifically for you. All accounts we set up are created in your name or handed over to you.
- Our tools. We keep ownership of our pre-existing know-how, templates, libraries and general methods. We grant you a perpetual, non-exclusive licence to use any of these included in your deliverables.
- Portfolio. We may describe the work in anonymised form (with no client name or identifying details) in our portfolio and case studies, unless you ask us not to.
9. Confidentiality and data protection
- Each of us will keep the other's confidential information private and use it only for the engagement. This doesn't apply to information that is already public, or that must be disclosed by law.
- Where we process personal data on your behalf, we do so as your processor, in line with UK GDPR and our Privacy Policy (link to /privacy). We will sign a Data Processing Agreement where required.
- We handle credentials securely and never ask for them by email. We recommend you change any shared credentials when the engagement ends.
10. Warranties
- We will perform our services with reasonable care and skill, in line with good industry practice.
- If a deliverable doesn't work as described in the Proposal, and you tell us within 30 days of launch, we will fix it at no extra charge.
- Apart from what is stated in these terms, and to the extent the law allows, we make no other warranties, including that the services will be uninterrupted or error-free.
11. Limitation of liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited by law.
- Subject to that, we are not liable for any loss of profit, revenue, business, goodwill or data, or for any indirect or consequential loss.
- Subject to the above, our total liability arising from any engagement is limited to the total fees you paid us for that engagement in the 12 months before the claim.
- If you are a consumer: our services are aimed at businesses. If you use them as a consumer, you also have statutory rights that these terms do not affect.
12. Ending an engagement
- Either of us may end a project engagement by written notice if the other materially breaches these terms or the Proposal and doesn't fix the breach within 14 days of being asked.
- If a project ends early, you pay for the work done up to that date, and we hand over everything completed so far.
- Sections 8, 9, 11 and 14 continue to apply after an engagement ends.
13. Events outside our control
Neither of us is liable for delays or failures caused by events beyond reasonable control. These include outages of third-party platforms, internet failures, natural disasters, and government action.
14. Governing law
These terms, and any dispute arising from them, are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction, except that consumers may also bring proceedings where they live.
15. Changes to these terms
We may update these terms from time to time. The version on the website at the time you accept a Proposal applies to that engagement. The "Last updated" date shows when they last changed.
